XL Reports – Merging Bulk Letters

In XL reports, on the Scheme
tab, there is a ‘Year Ends in Month’ option. It shows all schemes with a year
end in a month that you select. After producing the Excel report, there is the
option to merge the data to a standard letter in Word.
If you select the option to
merge the data to letters, Omni will retrieve the letter template and produce a
letter for each person who receives correspondence on a scheme.
There are 2 groups of people
who can receive a letter:
- Trustees
and scheme contacts. In the Scheme Address Book, double click a person and
the ‘Address Record’ screen is shown. In the Scheme Correspondence box,
click ‘Home’ for the letter to be addressed to the person’s home address,
‘Business’ for the business address and ‘None’ if that person does not
receive correspondence.
- Accountant
or Introducer. The advisers for a scheme are selected from the Scheme
Address Book, on the Advisers tab. To determine whether they receive
correspondence, use the ‘Correspondence To’ field on the main Scheme
Details screen (Scheme, Amend Scheme). The ‘Client’ option means that
neither the Accountant nor the Agent/Introducer receive copies of the
letters. The ‘Clnt+Agnt’ option means that copy letters are produced for
the agent as well as the client etc. The letters are addressed to the
adviser but there is a heading of ‘Copy of letter to client’.
For this option to work, your
system administrator needs to set up a merge template in Word to accept the
data.
